The Boards

The office boards can be one of the most useful tools for organizing the team within each property.

The office boards can be one of the most useful tools for organizing the team within each property. 

It’s the simplest way to organize and discuss what needs to be done or has already been done with make-ready’s, housekeepers, Porters, and any support personnel. 

This tool is only useful if it is being updated consistently. Therefore, the property and the apartments within it should be inspected regularly to ensure all work has been done correctly.

*Using these boards is NOT optional*

There are three mainboards which are: 

The Make Ready Board:

(only the colors Black and Red may be used on this board) 

All of the vacant apartments within a property should be listed on this board. (As soon as a tenant turns in their keys, their apartment should be listed on this board) 

Next to each apartment number, you will find what each apartment needs to be considered finished. 

* X means the task is done. As the board is updated, the system should be updated as well*

The manager is strictly responsible for the upkeep of the Make Ready Board. *This does not mean that only the manager can update it, only that if the board is not updated the manager will be responsible for the repercussions* 

The Pre-Lease Board:
(only the colors Green and Red may be used on this board)
Only the Leased Vacant apartments should be listed on this board.
Next to each apartment number, you will find what each apartment needs to be considered finished.

 

Renewal Board: 

The list of all of the apartments whose leases are about to end or expire within the next 3 months will be found here. 

Abbreviations for the Make Ready and Pre-Lease Board
TO – Trash Out
TU – Touch Up Paint
FULL P -Full Paint
S – Shampoo
HS – Heavy Shampoo
R– Replace
O/E – Odor enzyme treatment, for carpet, if it has a pet odor.
RSF– Resurface (Make sure to be specific about which tub; Master, guest or Both
C – clean
MR – Make Ready
MMR – Minor Make Ready (Used if the unit has very little that needs to be done.)
Plank – If units will need plank. (This goes in the carpet column)
M – Master Key
K – Key needs to be changed to master Key.
